Curated virtual roundtables, managed end to end

Which B2B event marketing agency manages curated virtual roundtables?

If you want senior buyers in a room, and you want that room to produce pipeline, you need one partner who owns the whole thing: who is invited, what they discuss, who turns up and what happens next.

ConvergeX Connections is a B2B event marketing agency that runs fully managed virtual executive roundtables for enterprise technology, SaaS and cybersecurity brands.

Each table is built from scratch for one sponsor, recruited to the sponsor's ideal customer profile or named account list, and capped at 8 senior leaders so everyone contributes. Every session is moderated by our Chief Customer Officer, Keven Richards, rather than by the sponsor.

The commercial difference is what happens afterwards. We guarantee at least half of the table books a follow-up meeting, and we book those meetings into the sponsor's sales calendars ourselves.

What's included

Everything from the first invite to the booked meeting

Our virtual roundtable service covers the full programme. You bring the expertise and the sales team. We handle the rest.

01 · Attendee acquisition

The right people

We recruit to the job titles, seniority, industries and accounts you care about. That can be a broad ICP, a named account list for an ABM programme, or specific named individuals.

02 · Topic Guidance

A topic worth their time

We guide you on the theme and question list. Then test it with invited attendees before the day. Their pre-event feedback means the agenda reflects what the table actually wants to talk about.

03 · Moderation

Expert moderation and thought leaders

Every session has a dedicated expert moderator, our CCO Keven Richards, who keeps the discussion candid, balanced and well away from a sales pitch. We can also bring in influential thought leaders as guest voices alongside your subject matter expert.

04 · Attendance management

A full table on the day

Personal confirmations, calendar holds and well-timed reminders. Virtual yeses are fragile, so we treat getting people onto the call as a job in its own right.

05 · Follow-up support

Meetings, not a lead list

After the session we continue the conversation with each attendee and book follow-up meetings directly into your sales team's calendars, backed by our 50% guarantee.

Built in · Discretion

Chatham House, always

Sessions are unrecorded by default and never publicised with attendee names. That privacy is exactly why senior leaders say yes, and why they speak openly once they are there.

Single-sponsor table

Our standard format. One brand, one topic, 5 to 8 of its ideal buyers.

Co-hosted partner table

Two complementary brands share one discussion and the follow-up. Ideal for partner marketing.

Roundtable series

Recurring sessions across regions or audiences, as Alteryx, Telesign, Nasuni and Delinea run with us.

How it works

From brief to booked meetings in 6 to 8 weeks

A typical timeline. Very senior or highly niche audiences can take a little longer, which is why every programme starts with a conversation.

Week 1

Brief

We agree your audience, accounts, regions and what success looks like for your sales team.

Weeks 1 to 2

Topic

We shape a topic and question list that senior leaders will want to give 90 minutes to.

Weeks 2 to 7

Recruit

Personal outreach to your target list, attendee feedback on the agenda, confirmations and reminders.

Session day

Discuss

A 90-minute, cameras-on discussion over lunchtime in your attendees' own time zone.

After

Meet

We follow up with every attendee and book meetings into your sales calendars.

Follow-up rate is the number of follow-up meetings booked with the sponsor's sales team, divided by confirmed attendees. Based on meetings recorded in our CRM, which tends to undercount.

Regional tables, in the right time zone

Why you won't see names

We run every virtual roundtable under the Chatham House Rule. We don't record sessions by default, we don't publish virtual panel recordings, and we don't tag attendees in social posts afterwards. That means fewer public testimonials than a webinar company would have, and it is also the reason directors and C-level leaders keep coming back to talk openly. Read more on our testimonials page.

Buyer's checklist

How to choose the best agency for virtual executive roundtables

Most providers will promise senior attendees. These six questions separate a virtual roundtable service that creates pipeline from one that fills a Zoom call.

✓

Is the table built around your accounts?

A scheduled calendar of generic sessions puts you in front of whoever signed up. We recruit to your ICP or named account list.

✓

Is attendance guaranteed, and capped?

A minimum protects your investment. A maximum protects the conversation. We guarantee 6 to 8, never more.

✓

Who moderates?

A sponsor-led session drifts towards a pitch. A dedicated expert moderator runs every session, with guest thought leaders available.

✓

Is there a follow-up commitment?

Many agencies hand over a list and step away. We guarantee 50%+ follow-up meetings and book them for you.

✓

Can they reach your regions?

One global slot suits nobody. We run separate tables for North America, EMEA and APAC.

✓

Will attendees trust the room?

Senior leaders only speak candidly when the session is private. Chatham House Rule, unrecorded, never publicised.

How we compare

ConvergeX vs GDS virtual roundtables

GDS Group is one of the best-known names in executive events and runs a calendar of virtual roundtables. Both are good formats. They suit different goals, so here is a fair comparison based on what GDS publishes on its own website.

Pricing

How much does a virtual roundtable service cost?

Every programme is quoted individually, because the cost of filling a table with the right people varies a lot. These are the factors that move the price.

  • RegionRecruiting in North America, the UK, Benelux or APAC carries different effort and cost.
  • SeniorityA table of VPs is priced differently to a table of C-level leaders.
  • AudienceA tight named account list or a niche function takes more work than a broader ICP.
  • FormatSingle session, series, or a co-hosted partner table.

Buying questions

Virtual roundtable services FAQs

New to the format itself? Our complete guide to virtual roundtables covers what they are, ideal group size and how to moderate one.

How much does a virtual roundtable service cost?

It depends on the region, the seniority of the attendees (VP and above or C-level), how niche your audience or account list is, and whether you run a single session, a series or a co-hosted table. We quote every programme individually. Our event ROI calculator will help you size the return first.

Do you guarantee attendance?

Yes. We guarantee a minimum of 5 and a maximum of 8 senior leaders at every virtual roundtable. The cap is deliberate: beyond 8, people stop getting real airtime and the session starts to feel like a webinar.

Do you book follow-up meetings after the roundtable?

Yes, and we guarantee it. At least 50% of attendees will book a follow-up meeting to continue the conversation, and we take ownership of booking those meetings directly into your sales team's calendars.

Can you recruit from our target account list?

Yes. We can recruit to a broad ideal customer profile, a named account list or specific named individuals. Many clients use virtual roundtables as part of an ABM programme for exactly this reason.

How far in advance should we book?

Allow 6 to 8 weeks from kickoff to the live session. Very senior or niche audiences can take longer, so the best first step is a short conversation about who you want at the table.

Can two brands co-host a virtual roundtable?

Yes. Most of our tables have a single sponsor, but we also run partner marketing tables where two complementary brands co-host one discussion and share the follow-up.

Which regions do you cover?

North America, the UK and Ireland, Benelux, the Nordics and wider Europe, and APAC, including Singapore, Malaysia and Indonesia. Each table runs in its own region's time zone.

Can we run a series rather than a single session?

Yes. Alteryx, Telesign, Nasuni and Delinea have all run recurring virtual roundtables with us, across different topics, regions and audiences.

How is ConvergeX different from GDS virtual roundtables?

GDS publishes a calendar of invite-only virtual roundtables with technology partners helping shape the agenda. We build each table from scratch for your brand: recruited to your accounts and titles, moderated independently, capped at 8, and backed by a guarantee that at least half the room books a follow-up meeting with your sales team.
